When Should a Business Use a Debt Collection Agency?

Using an external collector too early can add cost; waiting until records disappear or an account becomes very old can make the case harder.

Internal chasing is consuming disproportionate time

If an employee spends hours repeating the same reminders with no documented escalation, structured external contact may release time for core finance work. Compare the cost against the expected collectable value.

The account has enough evidence to pursue

Before instruction, check the balance, legal debtor, supporting paperwork, payment history and whether a genuine dispute exists. A collections agency cannot repair missing contract evidence simply by calling more often.

The business needs field coverage or batch capacity

A business-premise visit might be appropriate when remote efforts fail and the visit is lawful and authorised. An aged portfolio may need segmentation and a managed campaign rather than individual phone-call purchases.

A legal dispute needs a different path

If the debtor contests contractual liability or insolvency is involved, take qualified advice. An agency’s ordinary demands are not court proceedings and its field staff are not enforcement officers.

Practical takeaways

  • Request written pricing and escalation controls.
  • Ask whether outcomes and payments will be reported.
  • Confirm regulatory and data-handling requirements.
